Event Policy
This policy outlines the expectations, rules, and guidelines for all vendors, performers, sponsors, volunteers, and participants of Black Girl Magic Day. By participating, you agree to comply with the following:
1. General Code of Conduct
- All participants must act with professionalism, respect, and integrity at all times.
- Discrimination, harassment, or inappropriate behavior of any kind will not be tolerated.
- This is a family-centered event — language, dress, and conduct must remain appropriate.
- Staff reserves the right to remove anyone who does not adhere to these standards.
2. Vendors
- Vendor Fee: $50 for youth vendors (under 18). Payment must be made in full to secure your slot.
- Slots Available: Limited to 5 youth vendor spaces — first come, first served.
- Setup & Breakdown: Vendors must arrive between 9:00–10:30 AM for setup. Booths must be ready by 11:00 AM. Breakdown begins only after the event ends at 6:00 PM.
- Provided: 1 table + 2 chairs per vendor. No additional furniture unless approved.
- Products: All items must be family-friendly and appropriate for community sale.
- Electricity/Equipment: If needed, must be requested in advance and approved.
- Cancellation: Vendor fees are non-refundable unless the event is canceled by organizers.
3. Performers
- Eligibility: Ages 6–15. All acts must be pre-approved through the performer application.
- Performance Slots: Limited and scheduled by the event team.
- Content: Must be family-friendly, respectful, and aligned with the mission of Black Girl Magic Day.
- Rehearsal / Soundcheck: Required soundcheck is between 9:30–10:30 AM. Performers must be ready at their scheduled time — late arrivals may forfeit their slot.
- Equipment: Basic sound and microphones will be provided. Special needs must be requested in advance.
4. Sponsors
- $250 — Community Supporter
- $500 — Silver Sponsor
- $1,000 — Gold Sponsor
- $2,000 — Platinum Sponsor
- Sponsors will be recognized according to their selected tier (logos, website placement, mentions, etc.).
- Sponsors must provide logos, promotional materials, and/or branded items no later than April 30, 2026.
- Invoices will be issued and must be paid in full to confirm sponsorship benefits.
5. Safety & Liability
- All participants are responsible for their personal property. Organizers are not liable for theft, loss, or damages.
- Food vendors must comply with all NYC Health Department regulations.
- First aid support will be available on site. In case of emergency, staff must be notified immediately.
6. Media & Promotion
- By participating, you grant Black Girl Magic Day permission to photograph, film, and use your image/likeness for event promotion across all platforms.
- Vendors and performers may share their own media but must tag official event accounts when possible.
7. Weather & Cancellations
- This is an outdoor event, rain or shine. In case of severe weather, updates will be shared via email and social media.
- Refunds will only be issued if the event is canceled by organizers.
8. Agreement
By submitting this application and providing payment (or selecting acknowledgment where applicable), you confirm that you have read, understood, and agree to abide by the Black Girl Magic Day event policies.
